How do you report Common App activity hours when your schedule changes?
Estimate activity hours with a changing schedule using a simple weighted average. Separate active weeks, avoid double counting, and keep an honest record.

Reconstruct the weeks you actually participated, estimate the hours in each period, and calculate an average across those active weeks. Keep weeks per year separate from hours per week. Use the current application’s instructions, and keep a private note showing how you made the estimate.
Divide the year into meaningful periods
Use a calendar, work schedule, rehearsal plan, or remembered routine. Separate periods when participation changed substantially: preseason, competition season, and occasional off-season work, for example. Do not count every week of the year as active merely because you remained a member.
Common App allows a best estimate when exact activity time is unavailable. An estimate should still be grounded in your routine. Avoid rounding every activity upward or treating travel, waiting, and overlapping responsibilities as full additional blocks without considering what you were actually doing.
Work through the arithmetic
| Period | Weeks | Hours per week | Total hours |
|---|---|---|---|
| Regular meetings | 20 | 3 | 60 |
| Event preparation | 8 | 6 | 48 |
| Total | 28 | 108 ÷ 28 ≈ 3.9 | 108 |
In this example, about four hours per active week and twenty-eight weeks per year describe the schedule. Reporting six hours for all twenty-eight weeks would overstate participation. Averaging across all fifty-two weeks would describe a different denominator and could obscure the active-week pattern.
Handle overlap before calculating totals
If a club meeting includes work on its annual event, those hours are not automatically additional event hours. Likewise, a group project completed during a listed internship should not silently become a second full commitment. Map the time blocks and decide which entry accurately represents them.
- Check whether two activities claim the same afternoon.
- Distinguish a normal week from an unusually busy one.
- Use an honest estimate for weeks you did not track.
- Keep a short explanation if the schedule is unusually variable.
Check the whole application for plausibility
Add your typical commitments together and compare them with school, sleep, work, and travel. This is a consistency check, not a claim that everyone has the same available time. If the total looks wrong, inspect overlap and seasonal assumptions before changing the numbers.
When the form cannot represent a genuinely unusual schedule, ask your counselor how to explain it concisely and follow the live field instructions. Keep the explanation factual. You do not need to make your hours look more impressive; you need a reader to understand your involvement.
